1. What This Policy Covers

This Cookie Policy explains how MBassett & Co LTD, trading as ClubHQ ("we", "us", "our"), uses cookies and similar technologies on the ClubHQ website (clubhq.uk) and web platform. It should be read alongside our Privacy Policy (clubhq.uk/privacy), which explains more broadly how we handle personal data.

This policy does not cover the ClubHQ mobile app, which uses device permissions and app-level storage rather than browser cookies, see our mobile app's privacy information for details.

2. What Cookies Are

A cookie is a small text file placed on your device when you visit a website. It allows the site to recognise your browser on return visits, or to store a small piece of information, such as whether you're logged in, or a preference you've set. Cookies can't run programs or access other files on your device; they simply store and return small pieces of data.

We also use "similar technologies," which work in comparable ways, for example, storing an identifier locally in your browser rather than as a traditional cookie file. Where this policy refers to "cookies," it includes these similar technologies unless stated otherwise.

3. The Cookies We Currently Use

We only use cookies that are strictly necessary for the website and platform to function. These do not require your consent under UK law, because the service cannot work without them, but we're still telling you about them for transparency.

We do not currently use any analytics, advertising, or tracking cookies, and no non-essential cookie is set without your consent.

4. Cookies We May Introduce in the Future

We're planning to introduce a cookie consent mechanism, ahead of potentially adding cookies for:

Preference storage - remembering settings you've chosen, such as display or notification preferences.
Platform analytics - understanding how the platform is used, so we can identify and fix problems and improve features.

If we introduce either of these, we will:

Ask for your consent through a cookie banner or settings panel before any non-essential cookie is set - not afterwards;
Let you accept or reject each category separately, rather than only offering an all-or-nothing choice;
Let you change your mind at any time through a cookie settings option on the website; and
Update this policy, including the table in Section 3, to reflect exactly what's in use, before doing so.

We will never set an advertising or cross-site tracking cookie without a clear, separate, opt-in choice, and we have no current plans to use cookies for advertising purposes.

5. Managing Cookies Through Your Browser

Because we currently only use strictly necessary cookies, there's nothing to opt out of today, blocking the Cloudflare or session cookie would prevent the website and platform from working properly (for example, you would be logged out repeatedly).

Once we introduce non-essential cookies, you'll be able to manage your preferences directly through our cookie settings tool, described in Section 4. In addition, most browsers let you view, delete, and block cookies through their own settings - search "ClubHQ.uk cookie settings" for instructions. Blocking cookies at the browser level may affect the strictly necessary cookies described in Section 3 and could prevent you from using the Service properly.

6. Changes to This Policy

We will update this Cookie Policy whenever the cookies we use change, in particular, when we introduce the consent mechanism described in Section 4. We will update the version number and effective date at the top of this policy when we do.
